# Corporate training app: public sessions, in-house courses, pre-course questionnaires and trainee resources

## Trainees find their session dates, fill in their pre-course questionnaire and keep access to their materials after the course; a company's training manager books the call that scopes training for their team.

## Public, in-house or one-to-one: what changes in the app

The same module, "Running annual reviews" for instance, can be taken three ways.

No seat is booked in the app: a slot there takes a single booking. The head count per session is kept on your side, form by form.

## The trainee's journey, in the app

### A page for each course

Objectives, an outline by half day, prerequisites, length and target audience, in an article you keep current.

### Upcoming dates

Each public session is an Agenda event: dates, times, city or login link, and seats left if you choose to show them.

### The pre-course questionnaire

A week ahead, a few questions about their job, their level and what they expect: the trainer knows who will be in the room.

### Their session's materials

Handouts, exercises, links and videos, in a section only their session's group can open, before and after the course.

### The last-day evaluation

A short Form filled in before leaving the room: what they'll use, what was missing, the score they give the module.

## The scoping call, booked by the training manager

### 45 minutes with the trainer to pin down the team, its level and what it should be able to do afterward

Before any in-house course, a company's training manager books 45 minutes in the app with the trainer for the topic. The form collects the company, head count, job roles involved, the goal and the dates to avoid. Since every booking section shares this form, keep the fields that only apply to in-house requests optional. A confirmation email goes to the training manager and to your team, and the call lands in the trainer's Google Calendar with the answers. The outline and the quote follow through your usual channels.

## One calendar per trainer

Each trainer gets their own sections, hooked up to their Google Calendar. On the days they teach a session, the all-day event closes every one of their slots: nobody books a call with Karim while he's running a fire extinguisher drill at a client's site. To offer him two lengths, 45 minutes for scoping and 90 minutes for one-to-one training, create two sections linked to the same calendar: a scoping call that gets booked makes the overlapping one-to-one slot unavailable, and vice versa.

## One session, from registration to evaluation

Say two days of "Frontline management" in March, with twelve seats. Here is what you set up in the app, and when.

### Post the session, open registration
  Add the session to the Agenda with its dates, times and room address, then add those two March days to the drop-down list in the registration Form. Each registration drops into your inbox as an email; you confirm the seat to the trainee or their employer, up to the twelfth.

### Create the group, send the questionnaire
  In the back office, create the "Management – March" group and put each registrant in it once they've created their account. A week before, a notification to that group alone invites its members to fill in the pre-course questionnaire, which only they can open; the trainer reads the answers before arriving.

### Last day: evaluation and materials
  At 4 p.m. on the second afternoon, the group gets the notification for the evaluation Form, filled in right there in the room. Answers export to CSV for your session report. The materials stay in the group's section for as long as you keep its members in it.

Three months later, a notification to the same group can open a second questionnaire: the follow-up evaluation, on what trainees actually apply.

## Corporate training app: common questions

**### How does a trainee sign up for a public session?**

Through the registration Form: name, company, job title, email and the session picked from a drop-down list you keep up to date. Often the employer fills it in for their employee, so include fields for the employer's contact details too. A seat only counts once you've confirmed it, after the email arrives.

**### My session has 12 seats: does the app block the thirteenth sign-up?**

No: the Form doesn't count submissions and accepts them all. You keep track of the head count yourself. Once the session is full, write "full" in the Agenda event, remove the date from the drop-down list and point latecomers to the next session.

**### A company wants to train a whole team: how does that work?**

Their training manager books a 45-minute scoping call with the trainer for the topic. You then send the outline and a quote, and the dates are set together, at their premises or yours. Once the agreement is signed, a group named after the team gives its members the materials and case studies tailored to their work.

**### Can trainees fill in a pre-course questionnaire before the session?**

Yes. It's a Form reserved for the session's group: multiple choice for their level, a paragraph for expectations, a drop-down list for time in the role. A notification scheduled a week ahead invites the group to answer. It doesn't compute a score: the trainer reads the answers and adjusts the exercises.

**### Can the materials stay reserved for participants?**

Yes. That takes two options, Authentication and User groups. Each participant creates an account, which you place in their session's group; only that group can see the materials section. Neither other app users nor trainees from another session can get in. Taking someone out of the group closes the section to them.

**### How do I collect end-of-course and follow-up evaluations?**

With two Forms. The first opens on the last day, in the room, through a notification to the group; the second, three months later, asks what each person actually applies in their job. Everything exports to CSV: averages and the report are worked out in your spreadsheet, as the app doesn't do that math.

**### Does the app handle training contracts, sign-in sheets and invoicing?**

No. It produces no contract, no sign-in sheet, no certificate of completion and no invoice, and it connects to no training management software: those documents stay in your tools. The app handles what surrounds the session: published dates, incoming registrations, the pre-course questionnaire, materials and evaluation.
