## Retail store, construction site, night patrols: what clients ask for

A store is guarded while it's open, a construction site while it's empty, and a patrol route links several sites in the same night. The form, the assessment and the post orders follow those differences.

The app doesn't log guard check-ins or locate anyone: an incident report is a form filled out on site, which lands in your inbox and is archived in the back office.

## The site assessment, booked by the person responsible for the site

### One hour on site, with someone who knows the premises, before you make a proposal

Before proposing coverage, your operations manager walks the site: exits, lighting, storage areas, delivery times. Open a "Site assessment" section with one-hour slots, Monday through Friday: the store manager or site superintendent picks a time there and enters the exact address, the type of site and the phone number of the person who will meet you. With 48 hours' minimum notice, your operations manager has time to group assessments by area. Each one lands in their Google Calendar; an appointment made by phone, which they add there themselves, also takes the slot out of the app.

## What a guard finds in their site's section

### Access and keys

Which door to use, where to pick up the badge or keys, what time the first deliveries arrive.

### Layout and sensitive spots

Photos of the emergency exits, the utility room or the copper cable stock, in a gallery: a relief guard knows the premises before arriving.

### On-call contacts

The site manager, your dispatch line, the shift supervisor: each number is one tap away.

### Current instructions

An inventory count on Saturday, a delivery expected at 5 a.m., an area closed for work: one article, and a push notification to that site's group only.

### The incident form

Type of incident, time, exact location, account and photos, sent from the site itself.

## One more site under contract: three settings

The contract is signed and the first guard starts Monday night: the back office is all it takes to get ready, and your other sites see none of it.

### The site's group
  In the back office, open one group per site, "North Warehouse" or "Linden Street project", or one per route for night patrols. Each guard creates an account in the app; you then add them to the group of the site they're assigned to. Reassigned? They change groups, and the old site's post orders leave their menu.

### Post orders, for the group only
  In a section restricted to that group, write up access, on-call contacts and what to check, with photos of the exits: guards from other sites don't see it. An instruction changes? Edit the article, then send a push notification to that site's group alone.

### The incident form
  Add a Form to the same space: incident type as a drop-down list, date, time, exact location, account, photo fields. An email alerts you to every report; they all stay in the back office, and their CSV export feeds the monthly report you hand the client.

Contract over? Take the guards out of the group, and that site's post orders no longer show up for them.

## Guarding, construction sites, patrols: questions from security companies

**### How does a client order a security guard through the app?**

Through a request, not a booking: guard coverage runs for nights or weeks, and how it's set up depends on the site. The client fills out the "Guarding request" Form: type of site, address, dates, hours, fixed post or patrols. You then offer the site assessment, followed by your quote; the commitment is signed with you, outside the app.

**### Who books the site assessment, and how long does it take?**

One hour, on site, booked by the person who knows the place: a store manager, a site superintendent, a facilities manager. They get a confirmation email, as does your operations manager. For a future patrol route, they take one slot per site to visit; if something comes up, they cancel from the email.

**### Can a guard read the post orders of another site?**

No. Each site has its own section, restricted to its group, and a guard only sees the one for the group you placed them in: the store guard sees neither the construction site's keys nor the warehouse contacts. For night patrols, the group belongs to the route, and its section brings the night's sites together in patrol order.

**### How does a guard send an incident report with photos?**

From their site's incident Form: they choose the incident type, note the time and place, describe what happened and attach photos, or even a video. Each report triggers an email to you; the back office keeps them all, ready for a CSV export. This isn't a certified electronic logbook: if your business requires one, keep your current tool, and use the app for reporting with photos.

**### Can the app locate my guards during their shift?**

No. The app tracks no one: no GPS, no position on a map, no alert when a guard leaves the site. Nor does it stand in for the alarm device your lone workers carry. To reach a guard on duty, your dispatch calls them, as it does today.

**### Can guards check in on patrol rounds with the app?**

No: the app records no checkpoint, whether by badge, QR code or tag. The route's post orders give the order of the sites and what to check, and any incident found goes through the form. If your contracts call for guard tour tracking, it stays in the system you use today.

**### Can the app handle my guard scheduling?**

No. Schedules, shifts, reliefs and payroll stay in your own tools. The app works alongside them: it takes client requests, books assessment visits, shows each guard the post orders for their site and collects their incident reports.
