# Translation agency app: quotes from the document, certified translations and video interpreting

## Your clients attach the document to translate to their quote request, know in advance what a certified translation involves and book an hour with a video interpreter in their language.

Designed without coding, your agency's app runs on iPhone and Android and in a web version: a quote form that takes the document, your language pairs and specialties, your turnaround times, standard or rush, and hours of video interpreting booked into each interpreter's calendar.

## A translation quote in three steps

The request reaches you with the document; the price and the delivery date are yours to set.

1. 1

### The request, document attached
In a Form, the client picks the source language and the target language from two dropdown lists, checks the specialty and enters the date they need it by. A file field takes the document: a photo taken with a phone works everywhere, a PDF from the web version or Android, never from the native iPhone app. A checkbox lets them flag that they need a certified translation.

2. 2

### Your quote
An email tells you the request is in, and the back office keeps it along with its file. You count the words with your own tools, choose the translator in your network who works into that language and reply by email with a price and a delivery date.

3. 3

### Approval, then delivery
The client accepts your quote by replying to your email. The translation reaches them through your usual channels, by email or on paper when the destination country calls for it: the app takes in requests, it doesn't deliver translations.

The app doesn't count words or work out a price or a deadline: it brings you a complete request, file included.

## An hour with a video interpreter, booked in the app

### Clients book the hour when they'll need an interpreter, in the section for their language

A telehealth visit, an appointment with a government office, a job interview held remotely: the client books a one-hour slot in the section for their language. The form asks what the appointment is, who will take part and a number where they can be reached, and each of you gets a confirmation email. The app doesn't set up the video call: you send them the meeting address, or your interpreter joins the one the other party has arranged. Slots appear in your agency's time zone, without converting to the client's: add your zone to the section's name for clients abroad.

## One section per language pair

### Your Spanish interpreter and your Arabic interpreter, each with a calendar of their own

Create an English-Spanish section tied to your Spanish interpreter's Google Calendar, then English-Arabic, tied to your Arabic interpreter's. When one of them heads out for an on-site assignment, at a hospital or in court, they add it to their calendar from their phone: the app removes the slots it overlaps. An interpreter who covers two languages links both sections to their single calendar, so an hour booked in Spanish closes the same hour in Portuguese. A slot takes one booking only: two clients never compete for the same interpreter at 2 p.m.

## Languages, specialties, turnaround

### Your language pairs

Each listed in the direction you translate it: translators usually work into their native language, and English into Japanese is not Japanese into English.

### Four specialties, one page each

Legal, medical, technical, marketing: each page names the documents you translate, from contracts to instruction manuals, and the profile of the translators who handle them.

### Certified translations

A page spells out what the client provides, original or copy, and makes clear that everything depends on the rules of the country where the document will be submitted.

### Standard turnaround

Your usual timeframe by number of pages or words, published the way you actually work: the app displays it, it doesn't calculate it.

### Rush jobs

What you take on as a rush, up to what volume and at what surcharge; in the quote form, the client checks "rush" and gives their deadline.

## Translation agency app: your questions

**### My client has the document as a PDF on an iPhone: how do they send it?**

The native iPhone app doesn't take PDFs in its file field, only photos and videos. Your client can photograph each page of the paper document, or attach the PDF from the app's web version on a computer, or from an Android phone. For a Word file or a large batch of documents, suggest email.

**### Certified or sworn translation: what does the client need to know?**

What it's called, and what's expected of it, vary with the country where the document will be submitted, and sometimes with the office that receives it. The app doesn't settle any of that: publish a page that says what the client must provide and encourages them to check what will be required of them there. In the quote form, a "certified translation" checkbox flags the request for you.

**### Can a client ask for a rush translation?**

Yes, in the quote Form: a "rush" checkbox and a date field for the deadline they're aiming for. Only you decide whether the timeframe is doable and at what price, since the app works out neither. Publish your rush terms, so they know what's possible before sending anything.

**### How does a client book a video interpreter?**

They open the section for their language pair, English-Arabic for example, and take a free hour in the interpreter's calendar. You get the confirmation with their form answers, then email them the video link. If they cancel, the hour is free again, the interpreter's calendar drops the event, and you receive a cancellation email.

**### Are documents sent through the app confidential?**

The app makes no promises on your behalf. Files attached to quote requests are stored in the back office, and you're told about each request by email. Apply your usual confidentiality rules to them, publish those rules in the app, and offer another channel to any client whose document shouldn't travel that way.

**### Can a client pay for a translation in the app?**

No. No money changes hands through it, neither a payment nor a deposit, whether for a translation or an hour of interpreting. Once the quote is accepted, you invoice as usual; a page in the app can explain your payment terms.

**### Does the app translate documents itself?**

No. It offers no machine translation: it serves the agency, not the client in a hurry to translate on their own. It takes in requests and documents, presents your languages, specialties and turnaround times, and books interpreting hours; translating remains your translators' work.
