You read each request in the email announcing it, then in the back office. 2. 2 ### Your quote Based on the venue, the end time and the guest count, you propose a costed plan by email or phone. The date only holds once the quote is accepted, and you're the one who puts it on your schedule. 3. 3 ### The venue walkthrough Once the quote is accepted, the couple or the venue books a 45-minute walkthrough with your team lead in the app. The team lead comes back with the list of posts to cover and each guard's start time. Some venues book the walkthrough themselves for their couples: the form then asks for the couple's names and the date of the celebration. ## The venue walkthrough, booked by the couple or the venue ### Three quarters of an hour on site to check entrances, parking and weak spots Open a "Venue walkthrough" section with 45-minute slots. The couple, or the venue manager, picks a time and enters in the form the address, the wedding date and the name of whoever will come along. On site, your team lead looks at where guests and caterers arrive, where cars will park, which paths stay dark at night, and where the gift table will stay in view. Split each day into two short windows, 10 to 10:45 a.m. and 3 to 3:45 p.m. for instance: in between, the team lead drives from one venue to the next. A 72-hour minimum notice prevents a walkthrough sprung on you the day before, and a 120-day horizon lets summer couples book theirs in spring. Your winter time off becomes exceptional closures. Someone not on the list? The guard fetches the family member designated in advance, who makes the call. ### Parking and valet Cars parked as guests arrive, the driveway kept clear for the caterer and emergency vehicles; with valet service, keys kept in a locked box until departure. ### The gift table A guard keeps the card box and envelopes in sight during cocktail hour and dinner, then hands everything, at the end of the night, to the person the couple chose. ### The grounds during the party Walks around the reception hall, the parking lot and the buildings closed to guests, such as the bridal suite or the caterer's kitchen. ### The end of the night Staggered departures, a cab called for anyone who shouldn't drive, and the last guests walked to their cars. ## Weddings and private parties: questions from security teams **### Can a couple reserve our team for their Saturday in the app?** No: Saturday doesn't even appear in the booking section, which opens on weekdays for walkthroughs. Wedding coverage is requested through the Form, then confirmed by your quote. Once the quote is signed, you block the date on your side, in your staff schedule. **### When should the venue walkthrough happen in the wedding planning?** Once the guest list and the evening's timeline are more or less settled, but early enough to adjust your quote: often one to two months ahead. Nothing in the app ties the walkthrough to the wedding date or rules out one booked too early: give couples the right window along with your quote. The venue manager can join to spell out their own rules, like the time the music has to come down. **### How many guards does a wedding need?** It depends on the venue, the guest count, the end time and the services chosen, such as valet. Your quote states it after the walkthrough, and the app shows no standard figure; a page can explain what makes the setup vary. **### How do couples ask for valet parking?** Through a question on the request Form, valet yes or no, followed by the number of cars expected. A page explains how you handle it: where cars are parked, where keys are kept, how they're returned at departure. Terms and liability are settled in your quote, according to the rules where you operate. **### How do I explain gift table coverage to families?** With a page for that post, published in CMS Articles: when the guard takes position, what they watch, who they hand the card box to at the end of the night. The request Form collects that person's name, chosen by the couple. **### Where can I show what my guards wear?** On a dedicated page, with photos: dark suit, light shirt, low-key manner, blending in with the guests without upstaging the couple. A different dress code for an outdoor party? The family says so in their request. **### Is the quote for an evening paid in the app?** No. Nothing is paid there, neither the deposit nor the balance for the evening. Families settle with you as your quote specifies; the app simply presents your terms on a page.
