The traveler books and describes the flight
In the "From the airport" section, they pick the slot for their landing time, then fill in the form: flight number, terminal, passengers, bags, child seat, drop-off address.The flight lands in your calendar
The confirmation reaches them by email, and you as well. The event goes into your Google Calendar with the answers in its description: the night before, you know who you're meeting, at which terminal and with how many bags.On the day, you check the landing
Before leaving, you look up the flight's arrival time on the airport's website: the app doesn't track flights. Then you wait at the meeting point, holding a sign with the traveler's name.
To or from the airport, then the time
The slot is the pickup time; its length, the length of the drive
Travelers first choose a direction: "To the airport" for a departure, "From the airport" for an arrival. For a departure, they pick the time you'll come for them; for an arrival, the time their plane is due to land. Set the slot length to the time a transfer takes you, one hour for an airport 45 minutes from downtown; the empty drive back isn't counted, so add it to your Google Calendar if it ties you up. Both sections share that calendar: a departure booked at 2 p.m. closes the 2 p.m. arrival slot. A slot takes one booking only: a family traveling together, not two strangers off the same flight. The flight form is the same on both sides, so ask for a "pickup or drop-off address" that works in either direction.

From 3 a.m. to 11:30 p.m., but not every day

For a plane leaving at 6 a.m., pickup often falls around 3 or 4 a.m. Open a night section, linked to the same calendar, with slots starting at 3 a.m., only on the days you're willing to drive at night; your other sections run from 6 a.m. to 11:30 p.m. With 24 hours' minimum notice, nobody books a 3 a.m. departure at 10 p.m. the night before. Your time off goes in as closure days. Slots are shown in your city's local time, with no conversion: say so at the top of your terms, for travelers booking from another time zone.

With two drivers, each has their own departure and arrival sections, tied to their own Google Calendar: one drops a couple off for a 7 a.m. flight while the other waits at the terminal for passengers off a red-eye. The van has its own sections too, for a family of five with a stroller and two child seats, or for February skiers and their ski bags. Your vehicles page says how many suitcases each one takes, and travelers book in the sections of the vehicle that suits them.

Airport transfers: what drivers ask us
My client lands at 11:40 p.m.: which slot do they book?
The 10 p.m. slot in "From the airport", the last one if the section closes at 11:30 p.m. They enter 11:40 p.m. and their flight number in the form: the time that counts is the plane's, which you check on the day. For a landing after midnight, no slot is open: the traveler calls you, and you add the ride to your Google Calendar.
How do I get the flight number and the number of bags?
Through the booking form, which you put together yourself: a text field for the flight and terminal, number fields for passengers and suitcases, a field for the age of the child who needs a seat. Make the flight number required: for departures too, it tells you when the plane takes off. Every answer turns up twice: first in the email confirming the booking, later in the description of the matching Google Calendar event.
The traveler books from abroad: what time zone are the slots in?
Your city's local time, with no conversion. A traveler planning their trip home from London sees 2 p.m.: that's 2 p.m. where you are, at the airport where they'll land. It's also the time printed on their flight booking, which gives the arrival in local time. Say so in your terms anyway, to clear up any doubt.
Does the app track flight delays?
No: it isn't connected to any flight data and never moves a slot. You check the arrival time yourself before leaving, using the flight number in the booking. If the flight is canceled, cancel the slot: an email lets the traveler know, and another client can take that time.
How do travelers book the outbound trip and the return?
As two bookings: the outbound trip in "To the airport", the return in "From the airport". With a six-month booking window, travelers can book the ride home from their vacation on the same day they book the ride out. Each trip has its own confirmation and cancellation link: they can cancel the return without losing the outbound ride.
Can travelers pay for the transfer in the app?
No. Booking costs the traveler nothing up front: they pay you on board or by invoice, depending on what you accept, and your rates page says so. Travel agencies that send you clients are billed the way they are today.
I also do train station transfers: is that one more section?
Yes: a Train station section with its own slot length, 30 minutes if the station is in town, linked to the same Google Calendar as the airport sections, so a station run never lands on top of an airport departure. There's only one form for the whole app, though: rename the field "flight or train number" and make it optional.
