Your minibuses, shown the way a group compares them

Seats and bags

Eight passengers plus the driver, but how much room for bags behind the last bench? A hockey team with its gear bags doesn't travel like a choir: give the cargo space of each minibus.

Tow hitch and roof rack

The kayak trailer, the cycling club's bikes, the marching band's instrument cases: say which minibuses have a tow hitch or a roof rack, and what they can pull or carry.

Child seats

It's the first question a day camp asks: how many car seats and boosters you supply, which seats they fit on, and whether they have to be requested with the minibus.

Fuel and cleaning on return

Returned full or fuel charged back, swept out or cleaning billed to the group: after a trip with a busload of fans, a rule read before departure heads off the argument when the keys come back.

Deductible and security deposit

Before signing, the club treasurer wants to know the deposit amount, how to pay it and the deductible if there's damage: these are your terms, published exactly as you apply them.

With or without a driver: what the group sends you

Two forms in the app, because a club that takes the wheel and a school that hands it to you don't have the same questions to settle.
With a driverWithout a driver

A club's request, from sending to departure

A volleyball tournament 110 miles away on a Saturday in November: here is how the request travels, from the coach to your keys.
  1. The coach fills in the Form

Tournament location, outbound and return dates, number of players and chaperones, number of bags, with or without a driver. If the coach is driving, they add their age and the date their license was issued. An email alerts you to the request, which you'll also find in the back office.
  2. You reply with a quote

You check your fleet schedule, pick the minibus, price the trip by distance and number of days, then email the quote. This step happens outside the app: availability and pricing stay in your own tools.
  3. Departure, instructions in hand

On Saturday morning, the "Before you leave" page lists what the driver brings: license, ID and the payment method your terms require at pickup. The depot address opens as directions from the app's map, with your opening hours right beside it.

Minibus rental app: questions rental companies ask

Can clubs book a minibus directly in the app?

No: they send you a request. GoodBarber's Appointment booking splits a day into slots, one customer per slot; it can't hold a minibus from Friday night to Sunday. A minibus rental is counted in days, and its price depends on the route, the number of passengers and the driver. So the request goes through a Form, and your accepted quote is what confirms the rental.

How do I get a club's requests for the whole season?

As soon as the league schedule comes out, often in August, the team manager can send you everything at once: add a paragraph field called "Season dates" to the Form, where they paste the list of away games. You reply with a single quote for the season or one per game, and the CSV export of requests helps you copy them into your schedule.

A minibus just freed up for Saturday: how do I spread the word fast?

With a push notification from the back office, sent immediately or scheduled for Thursday evening: "A 9-seat minibus is free this Saturday, with or without a driver." It can go to all users or to a geographic area, such as the towns around your depot. Claude or ChatGPT, connected to the app through MCP, can also draft it, and they wait for your approval before sending.

How do I tell requests with a driver from those without?

Publish two Forms, each in its own section: one asks for times and waiting time, the other for the driver's details and license. You can tell a request's type at a glance, and each form only asks the questions that matter. If you'd rather have a single form, a drop-down list at the top, "with or without a driver", sorts them.

Can I collect the security deposit in the app?

No, no payment goes through the app, neither the rental nor the deposit. It's paid at pickup, by check, card hold or bank transfer, whichever you accept. The app's job is to announce it: the amount and what triggers it are in your terms, which the organizer reads before even asking for a quote.

Does the app replace my rental software?

No. The fleet schedule, contracts and invoicing stay in your software or your spreadsheet. The app handles everything around them: showing the minibuses, taking requests, announcing availability, giving departure instructions. There is no connection between the app and your software; requests export as CSV so you can bring them in.

Do I need iOS and Android apps, or is a web version enough?

With the Standard plan, your app exists as a web version: it already shows your minibuses and takes requests, and a simple link in your emails to clubs opens it. The iOS and Android apps come with the Premium plan, along with Automatic push and Geofencing. Team managers who install the app see Saturday's announcement pop up on their screens.
