Customers book the key handover, not the car

Once you have confirmed the rental, they pick their 15-minute slot at the counter

Appointment booking reserves time slots within a day: it doesn't rent out cars. Once you have confirmed the rental, customers use the app to pick the 15-minute slot when they collect the keys, at your branch counter or at the airport desk. The form asks for their booking reference and, if they're flying in, their flight number; a confirmation email reaches both of you. One customer per slot: passengers from the same flight arrive spread out instead of queuing at the counter together. If someone books a slot without a booking reference, you cancel it and they're notified by email.

From rental request to keys in hand

Three steps: the first and the last in the app, the one in between in your rental software.
  1. The request, through a Form

    In a Form, customers enter their pickup and return dates and times, the category they want, the driver's age and their extras, such as a child seat or an additional driver. An email flags every request, and all of them stay listed in the back office, which exports them as CSV.
  2. Your confirmation

    You check that a car in that category is free for those dates, set the price and prepare the contract in your usual tool. Then you reply to the customer by email or phone and give them their booking reference.
  3. Keys and departure photos

    In the app, the customer takes a key handover slot. Before driving off, they photograph the car and send the pictures through a second Form, one file field for each side plus one for the odometer and the fuel gauge: each submission triggers an email to you, sent at the time it was made.

How much does a car rental agency app cost?

Car rental agency app: questions from rental companies

Can my customers rent a car for several days in the app?

Not in the app itself: Appointment booking reserves slots within a single day and doesn't track a car from Monday to Friday. Customers send you a request through a Form and you confirm it, or a link in the app opens your online booking engine, if you have one.

Can the app collect the security deposit or the rental fee?

No. The app doesn't charge anything, neither the rental nor the deposit: the hold on the card is taken at the counter, or by your booking engine if it can do so. What the app does is state the amount to expect and the cards you accept, so nobody discovers it when signing the contract.

How do I avoid disputes over scratches and dents?

Ask for photos at pickup and at return: a Form with several file fields, one for each side of the car and one for the odometer and fuel gauge. Each submission triggers an email to you, at the time the customer sent it, and stays in the back office. The signed condition report remains your reference document; the photos back it up.

I have a branch in town and a desk at the airport: how does that work?

Create one key handover section per location, each set up separately: hours, slot length, Google Calendar. Both addresses go on a map, and customers choose the section for the place where they pick up the car.

Can a car rental agency get by with just a web version?

To show your fleet and take requests, yes: the Standard plan publishes your app as a web version only, with the Form. It doesn't include Appointment booking: for key handover slots and native apps on the App Store and Google Play, you need the Premium or the Pro plan.

How do customers return a car after hours?

Publish the steps in the app: where to park, where to leave the keys, what to photograph. Before leaving, the customer sends the return photos through the Form, and the notification email gives the time. When you open, you walk around the car.

Can I tell my customers about a seasonal offer?

Yes, with a push notification, sent right away or scheduled, to all your app users or only to those in a given area: summer rates, the opening of your airport desk, a closure on a public holiday. The one limit: no notification addressed to a single customer.

Does my rental software connect to the app?

Not directly: the app has no built-in connection to rental software. If yours offers an online booking engine, a link in the app leads to it, and you can download the Form requests as a CSV file.
