Clients pick their session, then their time

One section per session, each with its own length, and a single calendar: the studio's

In the app, clients find four booking sections: professional headshots in 30 minutes, family and maternity in 1 hour, portfolio in 2 hours. All of them write to the studio's Google Calendar, so a portfolio shoot booked from 2 to 4 pm takes the headshot slots it covers off the app. The form asks how many people will be in the shot and what the photos are for: a professional profile, a birth announcement, an agency, a gift. The confirmation email goes to both client and studio, with those answers.

A mini session day, in three settings

Holidays, Mother's Day, back to school: a set built for one Saturday, and a new family every fifteen minutes.
  1. 15 minutes per family, Saturday only

    Create a "Holiday mini sessions" section with 15-minute slots on the studio's Google Calendar. Open Saturday only, 9 am to noon, then 2 to 5 pm: twenty-four slots, one family each.
  2. One Saturday on show, and a notification

    Keep the booking window under seven days: the app only ever offers the coming Saturday. On the day it appears, a push notification scheduled in advance announces it to everyone, or only to users in your town who've allowed location access.
  3. Saturday night, the section closes

    Remove Saturday from its opening days: no slot shows anymore, and the section waits for the next season. In April, rename it "Mother's Day mini sessions", show the new set in an article and reopen a Saturday in early May.

What to wear, session by session

Professional headshot

A solid jacket or shirt in a mid-tone color, no logos or fine stripes that shimmer on camera, and a second, more relaxed outfit.

Family

Three or four colors that go together rather than matching outfits, no big logos, and clean shoes: on a white backdrop, feet show.

Maternity

Often around 30 weeks: a fitted dress or a top that bares the bump, and loose clothes that morning, so you arrive without waistband marks.

Actor or model portfolio

Three outfits for three looks; actors come made up as for an audition, models with almost no makeup, in fitted jeans and a tank top.

Seasonal mini session

One outfit, worn on arrival, because nobody changes in fifteen minutes; pick its colors to match the season's set.

Two photographers, two calendars

Léa works in the studio, whose sections all follow the studio's Google Calendar; Hugo photographs newborns at home and families in the park, with a section linked to his own calendar. A session booked with Hugo closes nothing at the studio. On the Thursday he borrows the white backdrop for a portfolio shoot, he enters it in the studio calendar, and the slots it overlaps disappear. Working alone? Link the outdoor section to the studio calendar: while you're out, nobody can book the backdrop.

How much does a photo studio app cost?

Your native app starts with the Premium plan; session booking is an add-on, and the Pro plan already includes it. Private galleries take two more add-ons on Premium, client accounts (Authentication) and their groups (User groups), which Pro also includes. Articles, public galleries, the Form and push notifications cost nothing extra.

What portrait photographers ask

A 30-minute headshot and a 2-hour portfolio shoot on the same backdrop: how do I avoid overlaps?

Each length gets its own section, since a section offers only one slot length, and all of them are linked to the studio's Google Calendar. A portfolio shoot booked from 10 am to noon then wipes out the four headshot slots in between; the other way around, a headshot booked at 11 closes the portfolio slot that contains it. Clients choose their length by opening one section or the other.

My holiday mini sessions sold out in two days: what can I offer disappointed families?

The app keeps no waiting list. If the set can stay up, leave Saturday in the section's opening days for one more week: the following Saturday becomes bookable in turn, and a push notification lets people know. Until then, a family that cancels puts its fifteen minutes back online.

I shoot model portfolios and agency tests: how do I organize them?

Portfolios get a section with 2-hour slots; model tests get another, with 1-hour slots open on Mondays only, on the same studio calendar. Since one booking form serves every section in the app, add two optional questions: the agency sending the model, and what the photos are for (comp card, agency website, casting). New faces send their recent digitals through a Form with a file field.

Can clients see their photos in the app without anyone else having access?

Yes, if the app has two add-ons: Authentication for accounts, and User groups to sort them. The client creates an account; in the back office, you add that account to a group in the client's name, the only one allowed to see their session's gallery. You post the selection there; full-resolution files go out as they do today, through your usual transfer link. Your public galleries only show photos published with the consent of the people in them.

Can I sell prints or albums in the app?

No, nothing is sold in the app: no prints, no albums, no gift certificates. Show your print sizes and album designs on a page; orders are taken at the studio, when clients choose their photos. For remote picks, a Form collects the numbers of the chosen photos, with no payment involved.

Can I ask for a deposit when a client books?

Not in the app: clients book without paying anything, not even a deposit. If you require one for a portfolio shoot, collect it as you do today, and post your cancellation terms on the sessions page. A client who cancels, in the app or from their email, frees up the slot right away, and an email lets you know.

Does anything go out to clients the day before their session?

No: no email or text is sent the day before; the only automatic message is the confirmation at booking. Before a mini session day, a scheduled push notification can give everyone the address and parking details again; it never targets a single client.
