One calendar per guide and per language

Visitors choose their language, then their guide and their time

Each guide on the team opens one section per language they speak, tied to their own Google Calendar: "Tour in English with Sarah", "Tour in Spanish with Diego". Sarah also guides in French? Her two sections share her calendar, so a tour booked in English at 10 a.m. closes 10 a.m. in French. On a day when Diego is leading a cruise ship shore excursion, an event in his calendar takes his slots off the app. In each section, visitors only see the times when that guide is free.

The private tour: two hours, one group, one guide

The booked slot belongs to the group, from the starting point to the last stop

The family or group of friends picks a 2-hour slot, 10 a.m. to noon or 2:30 to 4:30 p.m. One group per slot: nobody joins the tour along the way. The form asks for the number of people, the children's ages, the theme they'd like (city history, street art or food) and the starting point (their hotel or the cathedral square). The confirmation lands in your inbox and in the group's, and the tour is added to the guide's Google Calendar, answers included. The day before, the guide knows what to talk about, and to whom.

Guided tours: questions from guides

Can a couple book a private tour in Spanish?

Yes, in the section of a Spanish-speaking guide, "Tour in Spanish with Diego" for example: they pick the day and the 2-hour slot, fill in the form and receive the confirmation by email. If two of your guides speak Spanish, each has a section, and the couple takes the one where their time is free.

How do people sign up for the Saturday tour?

Through a Form, not through booking: a slot can be taken only once, and the first person to sign up would close the 10 a.m. street art tour to the next twenty. Announce the tour in the Agenda, with the date, time, language and starting point; the Form collects the name, number of people and phone number. Each sign-up reaches you by email; you confirm and keep the list, up to the cap you set yourself.

We're a team of four guides: one section per person?

One section per guide and per language. Four guides who each speak two languages make eight sections, each tied to its guide's Google Calendar; a guide's two sections share that calendar, so nobody is ever booked twice for the same time. Everyone blocks their time off in their own calendar, and a page in the app introduces the team, their languages and their themes.

Where do I show the starting point and the route?

On the app's map: each tour's starting point, a church square or a subway exit, then the stops, one pin per stop, with a photo and a few lines. Visitors open directions to the start from their hotel. The map shows fixed places; it doesn't follow the group during the tour.

A company wants a tour for 40 people: booking or quote?

A quote. With 40, you may need two guides, a schedule that fits the conference, monument admissions: that's a request, not a slot. The group Form asks for the preferred date, number of participants, language, theme and billing address; you get an email for each request and reply with your quote. Cruise ship shore excursions take the same route.

Can visitors pay for their tour through the app?

No: no tour is paid for there, private, themed or group, and no deposit is taken at booking. Visitors pay as they do today, at the start of the tour, or by bank transfer and on invoice for companies. Post your prices and your cancellation policy on each tour's page.

Can I sell an audio guide in the app?

Memberships, the subscription extension, opens access to content in exchange for a payment made in the iOS and Android apps: your audio commentary can be part of it, for subscribers only. Apple and Google take their commission, from 15 to 30%, and there's no telling how many subscribers you'll get. You can also publish a few excerpts open to all in a podcast section, to make people want to book the tour.

Each guide has their own Appointment booking sections for private tours; the extension costs extra on the Premium plan and is part of the Pro plan. The Form takes sign-ups and group requests, CMS Agenda announces fixed-date tours, CMS Map shows starting points and stops, CMS Podcasts carries your audio excerpts, and Push notifications flag a tour added to the program.
