Private tours are booked in a time slot

Three hours on the boat for a single group, picked in the app

For the family or group of friends who want the boat to themselves, open a "Private boat" section with 3-hour slots: 2 to 5 p.m. and 5:30 to 8:30 p.m., for example. Its time ranges steer clear of your shared departures, so the 10 a.m. trip never shows up there. Whoever books a slot has it to themselves; the form then asks for the number of people, their hotel and the occasion: a birthday, a proposal, a team outing. A confirmation email goes to the group and to you, and the trip is added to your Google Calendar with those answers in the description.

A seat on a shared departure, in three steps

The 10 a.m. boat carries 40 passengers, while a time slot takes only one booking: seats are requested, and you're the one who confirms them.
  1. The request

    In a Form, travelers pick the tour from a drop-down list, then give the date, the number of adults, the children's ages, their hotel and their phone number. Each submission sends you an email and stays in the back office; sort the CSV export by date, and each departure's requests line up together.
  2. Your confirmation

    You check what's left on that departure, then write or call the traveler back: seat held, check-in time, price, payment on board or at the harbor kiosk. Departure full? Offer the next day, or the bus trip.
  3. Departure day

    Travelers find their meeting point on the map, photo and directions included. If the sea is too rough, a notification goes out around 7 a.m., to the whole app or only to users located around the harbor. Tell the day's travelers directly too: their contact details are in their request.

Can travelers book their seat on the 10 a.m. boat?

No. A booking slot has only one taker: the first couple to book 10 a.m. would close the boat to the other 38 passengers. Shared departures therefore go through a Form request, which you confirm. Online booking is for private tours, where one slot is precisely one whole group.

How do I set up a private tour for one family?

Create one booking section per tour you run privately, "Private boat" or "Family 4x4", each with its own slot length, time ranges and Google Calendar. Do you also rent the boat for a full day, on days without shared departures? Add a "Private boat, full day" section linked to the same calendar: a full day booked closes the 3-hour slots it overlaps, and the other way around.

How do I announce a departure canceled because of the weather?

Through a push notification, either immediate or scheduled for a set time: "Heavy swell: the 10 a.m. trip is canceled, the 2 p.m. one is still on." Send it to the whole app, or to an area drawn around the harbor and the hotels, for users who have allowed location access. It can't target only the people signed up: follow it with an email to those travelers. For the day's private tours, closing that date in the section cancels their bookings, and each group is told by email.

Where do I show the meeting point?

On the app's map, one pin per departure point: the harbor pier, the lookout parking lot, the stop outside each hotel, with a photo and directions. The tour page names the pin to head for. With Geofencing, free from the Premium plan, a traveler who pulls into the harbor parking lot gets your message: "Boarding at pier B, twenty minutes before departure."

Can travelers pay for the tour in the app?

No: not a seat on a shared departure, not a private tour, not a deposit. Travelers pay as they do today, on board, at the harbor kiosk or through your online ticketing site. Put your prices and the payment methods you accept on each tour page; the booking screen shows none.

Does the app replace my ticketing system?

No. It doesn't count remaining seats, issue tickets or take payments. It handles everything around the sale: schedule, tour pages, meeting points, seat requests, private tours, the day's announcements. If your ticketing system has an online page, a section of the app can lead there.
