In the app, each of your performers gets a booking section linked to their Google Calendar. Inès, a magician, works Wednesday afternoons and weekends; Tom, a balloon artist, only weekends: each section only opens on that performer's days. The mascot has one too, since there's only one costume. The app doesn't insert any travel time between two bookings: space out each performer's opening hours instead, based on how far they drive. Customers pick the performer first, then the time, from that performer's open slots only.

Booking a performer for a party

The form tells the performer where they're going, for whom, and how much room they'll have

Customers open the section of the performer they want and take an open slot. The booking form, the same for all your performers, asks for the type of event, the age and number of kids or guests, the address and the space planned: living room, backyard, community hall. Customer and company both get the confirmation email with those answers, and the party lands in the performer's Google Calendar, address included. A minimum notice of 48 hours means nobody books tomorrow's party the night before.

How much does a party entertainment app cost?

A party entertainment company's app in the App Store and on Google Play starts with the Premium plan. Booking performers is an add-on option; the Pro plan already has it, along with two extensions that corporate clients need: Authentication and User groups. On the Standard plan, which covers only the web version, the catalog and quote requests are there, but no booking.

Party entertainment company: questions before building the app

I have twelve performers: do I need twelve calendars?

Yes: one booking section per performer, each linked to a Google Calendar, either their own or one your company creates in their name. A magician who offers 30 minutes of close-up and a one-hour show has two sections tied to the same calendar: when a customer books the show, the close-up slots during that hour disappear. The stilt walker you send to store openings, who only works on quotes, appears in the catalog without a section.

A customer wants a magician and a face painter on the same afternoon: how does that work?

They can book both, each in their own section, but nothing links those two bookings: it's up to you to check that the times line up at the same address. When performers take turns, point the customer to the quote request instead, and set the running order yourself. Once the quote is accepted, add each appearance to the Google Calendar of the performer involved: their slots close in the app.

A performer has a gig elsewhere: how do I block their slots?

They add the gig to their Google Calendar from their phone: the slots it overlaps disappear from their section, without going through the back office. For a regular commitment, like an after-school workshop every Wednesday, the safest way is to take those hours out of their section's opening hours. Vacation days go in as exceptional closures, one date at a time.

How do I open December dates as early as September?

With each section's booking window, the number of days open in advance (up to 365): at 120 days, a parent who opens the app in early September already sees the Saturdays in December. Schedule a push notification for early September: "December dates are open." Company holiday parties, which often need several performers, go through the quote request.

Can we take a deposit when customers book?

No. Booking a performer in the app charges nothing, neither a deposit nor a payment. If your terms call for a deposit, ask for it once the party is confirmed, by bank transfer for example, and publish those terms in the app. When a customer cancels, from the app or the email they received, the slot opens up again, the event leaves the performer's calendar and your company is notified by email.

Can corporate clients have their own space in the app?

Yes. User groups, combined with Authentication, reserve a section for that company's event planners alone; the Pro plan includes both. They create an account, you add them to their group from the back office, and they find last year's program, the packages already offered and the quote form for the holiday party.

Where do I show the video of each act?

In a Videos section, one video per act, with its length and recommended age range in the text that goes with it. A minute is often enough: the start of the trick, the audience's reaction, the bow. If kids appear, film them from behind or with their parents' consent. A parent torn between two magicians can then compare their videos before booking.
